What to do
Follow these steps in order. Keep it simple — refine after the first real workflow works.
- 1Open the Leave tab and switch to the manager approval view.
- 2Use Set leave balance before approving real requests.
- 3Choose the staff member, leave type, and year.
- 4Enter entitlement days, such as 12 annual days for Lisa Brown or 30 annual days for Sam Okafor.
- 5Enter carry-over days from the previous year if the business allows unused leave to roll forward.
- 6Enter used days if the team is moving from spreadsheets or another HR system mid-year.
- 7Repeat for each leave type the business tracks, such as annual, sick, and personal.
- 8Ask one employee to submit a test request and confirm managers can see balance, duration, coverage, and schedule impact before approving.
You're done when…
Use this quick check before moving to the next setup task.
- Every active staff member has a current-year balance for the leave types they can request.
- Entitlement, used, carry-over, and remaining days match the source payroll or HR record.
- Managers know who is allowed to approve leave and who should only request their own leave.
- Approved leave appears on the schedule and creates conflict context for assigned jobs.
- Rejected requests do not deduct balance, and canceled approved leave restores the balance.
Why this matters
How this task connects to the rest of the product.
- Balance fields
- Leave balances use member, leave type, year, entitlement, used days, and carry-over. Remaining balance is calculated from those values.
- Leave types
- The app supports practical leave types such as annual, sick, and personal. Request labels like Annual leave map back to balance types such as annual.
- Approvals
- When a manager approves leave, the approved duration updates used days and becomes schedule context.
- Schedule impact
- Approved leave appears as a schedule window, so jobs assigned during that time can show leave conflict warnings.
- Payroll impact
- Leave balances and approved requests help managers explain attendance, coverage, and payroll exceptions before export.
- Breaks if skipped
- Managers cannot trust remaining leave, employees see missing balances, and approvals may create coverage or payroll confusion.
Expected outcome
Set leave policies and balances
Managers can approve or reject leave with balance, coverage, schedule, and payroll context visible.
