Schedule and dispatch a job
Book a job in under a minute: Flowdexa checks who's qualified, who's free, and what gear is available.
What happens
Follow this routine when your team is doing this work for real.
- 1Open Jobs and create a new job with customer, optional location, service, scheduled start/end, assigned resources, and notes.
- 2Let the job conflict check compare assigned resources against overlapping jobs, resource windows, approved leave, and closed dates.
- 3Review service tasks, missing stock warnings, holiday warnings, maintenance warnings, and assigned resources on the job detail page.
- 4Move the job from draft to confirmed when it is ready; stock requirements can then be reserved.
- 5Dispatch the job so assigned team members receive notifications and can open the dispatch view.
- 6For work spanning more than one visit, build a Service package (services and their day-gaps) and book it from New job — it creates a group you manage on one page, adding each further visit on the same availability calendar.
- 7Monitor in-progress work from Jobs, Schedule, Notifications, and the job detail page.
What this uses

- Service
- Controls duration, buffer, required skills, required resources, required stock, tasks, and invoice context.
- Customer and location
- Defines where the work happens and what appears on dispatch, schedule, customer history, and invoice pages.
- Members
- Eligible human assignees are filtered by service-required skills and availability during the selected time window.
- Resources
- Rooms, vehicles, equipment, or kits are validated against service requirements, resource type, specific resource name, and quantity.
- Availability
- Work schedules, resource windows, approved leave, closed dates, and existing jobs decide whether a person or resource is free.
- Inventory
- Required stock on the service becomes low-stock or missing-stock context before work is confirmed.
- Multi-day groups
- A group holds several days of the same engagement. Each day stays a normal job with its own crew, checklist, status, and timesheet, so hours split correctly per day. Deleting a group removes the grouping only — the scheduled days survive.
Before you call it done
Run these checks to make sure the workflow is actually working end-to-end.
- The responsible role can complete the workflow without owner access.
- Required customer, service, schedule, resource, or payroll records are connected.
- Blocked work has a visible reason and a named next owner.
- Managers can see the status in daily operations or reports.
